About us
The Glencree Centre for Peace & Reconciliation (Glencree) works with individuals and groups to transform conflict, promote reconciliation, encourage healthy relationships and build sustainable peace.
We are an Irish-based, independent, non-governmental organisation. Founded in 1974 in response to the conflict in Northern Ireland, Glencree played an important role in the Irish Peace Process, bringing together those in conflict for confidential dialogue and helping to build relationships across divides. As well as our ongoing work on the island of Ireland, our perspective and expertise has been shared in more than ten conflict and post-conflict countries around the globe.
Much of our work takes place at our Peace Centre in the Wicklow mountains, a welcoming place of hospitality and friendliness, a quiet, strong space, surrounded by nature and steeped in history. We also work within the communities we serve. We bring together former enemies, opposing political factions, people who have suffered tremendous trauma, distrust or feel hatred toward the other, and provide an enabling environment where they can talk and listen to each other as they seek to transform divisive relationships.
Role Description
The Corporate Services Executive will be a key member of the Senior Management Team and will be responsible for the management and operational responsibility of Governance and Compliance, Human Resources, Customer Relationship Management, Procurement and ICT. S/he will work closely with the CEO and the Senior Management Team, in addition to supporting staff and consultants. S/he will report to the CEO. S/he will act as a central co-ordinator of Glencree’s support requirements which are delivered by the administrative staff.
Key Responsibilities
Governance and Compliance
- Ensure Glencree is fully compliant and operating in accordance with all relevant legal and regulatory requirements as a charity and as a company limited by guarantee
- Ensure Glencree is fully compliant and operating to meet the needs of the Board and external funders
- Support Glencree Board and staff to demonstrate excellence in corporate governance
- Support the CEO and Financial Controller to act as Secretariat to the Glencree Board and to any Board sub-committees and Working Groups
- Act as the Designated Person under Glencree’s Policy on Safeguarding of Children and Vulnerable Persons; the Glencree Safety Officer under Glencree Health & Safety Policy; Glencree’s Data Controller under its GDPR Policy, the Complaints Officer under the Complaints Policy and other roles as designated by the CEO.
Human Resources
- Proactively manage the HR function of Glencree
- Ensure all Glencree HR policies are up to date and that HR policies, procedures and record keeping are operating effectively across the organisation
- Support the CEO to ensure that Glencree has sufficient human resources’ capability to deliver on its overall vision and goals
- Support the CEO to develop and implement a Performance Management and Development System that is linked to the achievement of organisational key performance indicators
- Identify and implement programmes to meet learning and development needs of staff
- Develop and where appropriate support the implementation of internal communications processes in collaboration with Glencree staff
- Provide HR support to managers and staff in relation to people management and the implementation of policies
- Identify and implement strategic HR initiatives to ensure terms and conditions are in place to attract and retain key staff
- Support the CEO to ensure the organisational model and structure are appropriate for Glencree and Glencree business developments as they grow and develop
- Act as a central co-ordinator of Glencree’s administrative/support requirements, working with relevant line managers to co-ordinate delivery by administrative staff.
Customer Relationship Management and Sourcing Programme Funds
- Proactively support the Chair and CEO of Glencree to develop and maintain regular and effective relationships with customers/external stakeholders
- Proactively manage systems and processes that support effective and appropriate customer relationship management across Glencree and Glencree Visitors’ Centre
- Proactively support the CEO, Financial Controller and Programme Managers to secure the financing of fully funded or co-funded activities at Glencree from a range of statutory, philanthropic, corporate or individual donors on the island of Ireland and internationally
- With the CEO, develop and maintain positive relationships with existing and prospective statutory, philanthropic, corporate or individual donors, and with Glencree members and alumni on the island of Ireland and internationally
- Ensure that the design and implementation of Glencree programmes and activities provide for the interaction and engagement of donors/funders in an appropriate and consistent way
- Promote Glencree’s expertise and infrastructure to strengthen awareness and positioning of Glencree in the corporate, statutory, philanthropic, and community and voluntary sectors on the island of Ireland and internationally
- Advise the CEO and Senior Management Team of emerging needs of customers/external stakeholders and ensure appropriate responses are developed and implemented to meet such needs.
Procurement
- Support the CEO and Senior Management Team to develop and implement procurement processes for goods and services as appropriate to the work of Glencree
- Support the CEO, CFO and Programme Managers to administer processes for contract arrangements and/or service level agreements between Glencree and third parties and ensure Glencree meets ongoing contractual requirements in such areas as ICT and Glencree Site and Buildings’ Cleaning/Maintenance
- Ensure IT systems are effective to meet Glencree’s needs and aligned with up-to-date technological/digital developments
- Manage external IT suppliers and contractors including IT support services, ensuring value for money for Glencree and ongoing relationship management
- Manage the cleaning, security and maintenance of the Glencree site and buildings
- Any other duties as deemed by the CEO to be commensurate with the role.
Reporting to: CEO
Salary: €28,800 p.a. (€48,000 pro rata)
Location: This role will be based in the Glencree Centre for Peace and Reconciliation, Glencree, Co. Wicklow, Ireland (25kms from Dublin City Centre). During Covid-19 restrictions, Glencree is compliant with government guidelines on working remotely. The possibility of some remote working may be considered for this role in the future.
Terms: 18 month / 1.5 year fixed term contract (with the possibility of extension, depending on funding); Part-time 3 days per week
Experience and skills sought
The following are indicative experience and skills sought in looking for the best person to work as part of the Senior Management Team. The successful applicant will be highly organised and efficient and have the personal and relational skills to liaise effectively with the staff, Board, strategic partners, service providers and stakeholders.
- Project Management: Experience in designing and delivering high-level administrative projects; working to tight deadlines, with limited resources and with a variety of stakeholders. Experience in the charity / not-for-profit sector is desirable but not essential
- Interpersonal Skills: Exceptional interpersonal skills and discretion in dealing with sensitive elements of our work (e.g. human resources). To be able to treat all Staff, Board, volunteers and stakeholders with dignity and respect
- Team Player: Having a strong track record in working well with others and being a highly effective team member
- Organisation: Demonstrable track record in being highly organised and efficient
- Confidentiality: Ability to keep all relevant information confidential is absolutely critical
- Flexibility: Willingness to work outside normal working hours on occasion. (Glencree operates a time in lieu policy to facilitate the need for flexible working)
- Report writing: Being able to write well is crucial
- Budget and financial management experience is essential
- Communications: Experience in successfully coordinating and contributing to internal and external communications (e.g. reporting, stakeholder correspondence, etc.).
The successful candidate will need to be eligible to work in the Republic of Ireland, have a full, clean drivers licence and access to own transport.
